COP Construction LLC, established in 1947, is an experienced heavy civil construction company specializing in underground utilities; treatment plants and pump stations; highways, streets, and bridges; industrial; trenchless construction; hydro excavation; and collaborative delivery methods. About the Position:
Responsible for being a welcoming presence as the first of point of contact in our Montana office, while supporting overall office activities. Key support to Human Resources and Marketing, including but not limited to applicant tracking; new hire sign-ups and onboarding; training scheduling and tracking; file maintenance; various marketing activities; and other office-related functions. This position requires flexibility, creativity, and proactive problem-solving adept to achieving results in a team-oriented and collaborative environment, but also the ability to function effectively working independently.
Key Responsibilities:
Human Resources
- Assist with applicant tracking and communicating between candidates and hiring managers.
- Facilitate pre-employment onboarding procedures, new hire paperwork, sign-ups, training, and coordinate continued onboarding requirements.
- Assist in scheduling and tracking training for all employees, including maintaining databases.
- Coordinate and organize PPE and uniform inventory.
- Participate as needed in special company related projects.
- Assist with updating COP Operating Manual, new hire paperwork annually, and other required HR documents.
Marketing
- Organize jobsite photographs for future media use.
- Assist with updating and posting on social media accounts consistent with COP branding standards.
- Assist with COP newsletter production and information gathering.
- Assist with updating COP website.
- Assist with the planning and coordination of special company/community events and functions.
- Assist in ordering and delivery of COP-branded apparel for various employee touchpoints.
- Ensure branding standards are updated as needed, met, and followed company-wide.
Montana Office
- Manage the reception area to ensure effective telephone and mail communications are met.
- Coordinate overall administrative office activities.
- Oversee the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of the office.
- Coordinate the purchase of office supplies and small furniture, office equipment, etc.
- Oversee the maintenance of office equipment, including copier, fax machine, etc.
- Stocking kitchens, fridges, and common areas.
- Responsible for booking company travel arrangements to include airfare and hotel, as requested.
- Maintain files and paperwork, as required.
Qualifications
- 2+ years of experience in office administration.
- Construction industry, or related, experience preferred.
- Human resources experience preferred.
- Valid driver’s license and reliable transportation.
- Ability to pass pre-employment and random drug screenings.
- Proficiency in the use of computers with Microsoft applications (Word, Excel, etc.) and ability to learn new software applications.
